Travel Coach August Email 8/12/2010

Dear Wellesley BAYS travel team coaches,

            Here is the mid summer letter with MOST of the information you need for the upcoming season. Please SAVE this email or print it as it should answer many of your questions and it should be an almost complete To Do List of what you need to do to prepare for the upcoming fall season. There is a lot of information here – please read it over since there is new information from previous years!!   (I will also post this email for your reference on our club website under Travel Coach Info).

 

COACH EMAIL CONTACTS

 There are currently 3 different places where head and assistant coach emails are stored and from which emails to travel coaches are generated. (Two lists from Wellesley Soccer and one from the BAYS league).  We hope to have the Wellesley Soccer contact list consolidated in one place by later this season pending additional functions from our registration site.   Please make sure that your email contact info is correct in all 3.  

 

1- This email is coming from Sue’s Outlook Contact List and is also used for internal WUSC emails about fields and referees and game cancellations that use this email list as the source of emails from other board members.  This Wellesley Soccer email is being sent to 2 distribution lists (to travel coaches with last name A-L and M-Z due to size constraint on number of recipients).  If your email has changed or you want to add another work or home email, please let me know (admin@wellesleysoccer.org).    Please check with your head or assistant coach to make sure they are included in the distribution. (don’t assume they were left out if you don’t see them on your list as they may be on other distribution list). 

 

2- The team contact rosters and BAYS rosters are emailed to the 1 or 2 emails that you list in your Volunteer contact info on the registration system.  Please log in to your family account in our registration system at  https://secure.adminsports.net/wellesley/

 and click on Modify Volunteer Info under your name in order to check that these email(s) are listed correctly.  If you do not see a Modify Volunteer button under your name you did not sign up to coach at registration time. In that case, please email me your updated phone or email.

 

3- BAYS league coach contact info.  Please make sure to check and update your contact info (phone, cell phone and email) at www.bays.org. This info will be used by your opposing coach to contact you.   Go to www.bays.org, select Unified Login in left menu and log in.  Your LOGIN IS YOUR FIRST INITIAL LAST NAME and PASSWORD is the LAST 4 DIGITS OF YOUR HOME PHONE NUMBER.

Then select MY PROFILE on left menu to bring up your contact info.  This is VERY important since this is how other coaches will be able to contact you about scheduling games.  If you cannot login, contact me to verify your login and password.

 

 

COACHES MEETING will be held on Tuesday SEPT 7 from 8-9 p.m. at the Wellesley Community Center.  You will receive uniform shirts (white), shorts (grade 4 and 6 only, other ages use shorts from last year) and red socks and a game ball and goalie gloves. Grade 4 coaches (and any new coaches) will receive goalie shirts, a mesh ball bag and some pinnies.  If you need any additional equipment please submit your request before the meeting at http://www.surveymonkey.com/s/QBF86ZM

 Grades 4-6 use size 4 ball, grades 7-8 use a size 5 ball.  This meeting is very important since we will go over all procedures regarding BAYS, games, practices etc.  Please have at least one coach from your team attend and all if possible.  For all first time travel coaches, please plan to stay for a quick Q & A at the end.

 

UNIFORMS – each coach will receive a set of white uniform jerseys and red socks for all players on the team.  Shorts will be distributed to all players in grade 4 and 6 only (there will be new ones for any new players).  You should remind your players that they should keep their red jerseys from last year so that you have an alternate color for games with conflicts.  I may have a few red jerseys left for new players – let me know if you need one.  We alternate the uniform colors each year so that you have two options in case of color conflict.  The home team is responsible for wearing a color that does not conflict with opponent.

 

COACHES CARDS-  For all first time travel coaches:  COACH ID cards are required for all head and assistant coaches.  There must be at least one coach at every game with a card and sometimes the referee will not let assistant coaches on the sideline with the team without one!  If you coached in BAYS previously, your card just needs a new sticker  (2010- 2011) that will be good for upcoming fall and spring. I will give every team some new stickers in their packets at the meeting. If you do not have a card, please email me a color 1”x1” picture for your card (admin@wellesleysoccer.org) or mail/drop a picture off to Sue DeNatale, 14 Norwich Rd. 02481.    I will return the cards to you at the coach meeting.    If you find that during the season you need an additional parent to cover a game, have them email me the picture and their date of birth and I will make a card. All cards will be distributed at the coach meeting if I have the picture before the meeting.

 

CORI FORMS- All head and assistant coaches must have filled out a CORI form online with Mass. Youth Soccer within the last 5 years in order to coach. If you did it previously, you are all set. If you are not sure, do it again or check with me as I have the list.  They will be checking each coach that we affiliate with them, so please go to the home page of www.mayouthsoccer.org to fill out a CORI form.  

 

PLAYER CARDS are NOT required for any age groups in the fall.    Player pass cards no longer need stickers, so if you are using your pass cards for a tournament, you do not need new stickers on them.  Player pass cards will be needed for division 1 and 2 teams in U12 and up for the spring season.

 

FALL SEASON -The season starts on September 11 and runs for 10 weeks including Columbus Day weekend and ends on Nov. 13. Practices can start any time in late August for those players and coaches who are available. You should try to have at least one or two practices before the first game. You may PRE-PONE (play before that weekend) your Columbus Weekend regular season game if you are going to a tournament or have players who won’t be available so please make those arrangements at the beginning of the season with your opposing coach so you plan to play the game before the long weekend. 

 

PRACTICE LOCATIONS: (preliminary planning – this may change as we get closer to Sept and final availability will be posted on our website.)  There is no reservation or assignment of practice fields.  Coaches should follow the recommendations and share space when necessary.

 

PRELIMINARY PRACTICE GUIDELINES

Grade 8 teams may not be practicing due to conflicts with grade 8 WMS or private school sports after the first week of the season. You may want to have a practice or two during the first week of school since 8th grade sports start later Sept 13.  (Any teams can practice if they have enough players available).

 

Elm Bank – fields available at all times after school.  There will be 8v8 and 11v11 fields and goals at Elm Bank.  This complex is shared with Natick Youth Soccer.  11v11 and 8v8 teams can practice here.

Sprague fields – Youth sports are NOT ALLOWED ON SPRAGUE UNTIL after 5:30pm on weekdays or until WHS and WMS games are completed.  Turf field signup info to follow.  All 6v6 games will be played at Sprague grass fields.  Some 8v8 and 11v11 games will be played on turf fields.

 

Grade 5 and 6 teams should practice at Elm Bank, Schofield, Bates or Perrin. There will be 8v8 fields lined at Elm Bank and Schofield and Perrin.  

 

Grade 3 & 4 6v6 teams should practice at Sprague, Hardy, Upham, Bates, Perrin and Schofield. 6v6 games will be played at Sprague fields but there should be 6v6 goals at the elementary school fields.

 

Stay posted for info about access to the new turf fields for practice.  These will be used by WHS and WMS teams until at least 5:30 pm on weekdays and with WHS construction, they may be used even later.  With darkness coming earlier in the fall, it’s difficult to hold many practices after 5:30 pm anyway.  

 

We will update you with any fall lacrosse usage for October.

 

COACH TRAINING – All coaches are strongly encouraged to attend the Mass. Youth Soccer license training courses. These are extremely valuable and are strongly recommended for all coaches.

ONLINE G course – take it online at www.mayouthsoccer.org!! 

We strongly suggest that every coach complete the online G course and the F course if you are coaching grade 4 or 5.  For coaches of U12 and U14, the E course is strongly recommended.  Each course is a prerequisite of the next level.

 

Upcoming courses in Wellesley:

G course (1st level – 4 hours): take online at www.mayouthsoccer.org.

F course (2nd level – 8 hours): two evenings in October. Dates to follow.

E course (3rd level-16 hours): requires 6 months between F and E.  4 weeknights in November.

 

The G course is a prerequisite for the F course with no wait time required between the two courses.  The F course is a prerequisite for the E course and there must be 6 months elapsed between the two courses. There will also be D level courses run by MA Youth Soccer.  This is 32 hours so let me know if you are interested. 

 

There are many license courses being run by Mass. Youth Soccer around the area.

You can attend a course at any location and the club will reimburse you upon completion. Check the schedule and course descriptions at www.mayouthsoccer.org and sign up for any non Wellesley courses on that website.  

 

GAME SCHEDULE – The schedule showing your home and away games will be available around Sept. 3 on the web at www.bays.org.  The exact times and field locations for home games will not be available until around Sept. 4-7th and will be posted on the BAYS website schedule.  You will need to notify your opposing coaches of the field locations and times for home games in Wellesley and check with those coaches to confirm your games at their fields.  We try to stick to default times, but often need to move teams to the game before or after the allotted time.  Girls play on Sat. morning (9.10:30, 11:45) and Boys play on Sat. afternoons (1:30 or 3 pm).

 

ROSTERS- You should all have received an emailed version of your roster in two forms; one with the contact email and address/phone etc and one with emergency numbers and medical info.  Please print the medical roster out and take it to each game and practice.  Please contact your team and let them know when the practices and games will start.  I will also be emailing your BAYS ROSTER to you at the end of August along with another copy of the emergency list.  You no longer need my registrar signature – just the signature of the coach.  You should print out the roster, sign it and make 20 copies as you must take 2 copies to each game.

 

WAIT LIST-  We do have a wait list for several age groups.  If a player has dropped off your team, please notify your age group coordinator and me.

 

TOURNAMENTS – The decision to participate in a tournament is made by the individual coach/team.   There are many division 1 and 2 Columbus Day weekend tournaments around the area  and some of these tournaments also take division 3 teams  Coaches should register soon if interested and collect fees directly from their players to cover the cost.  Patches are available for $1.50 at Coldwell Banker Realty in Wellesley Square. Set up a email distribution for your players and parents

 

Update your contact info at bays.org (login is first initial last name and password is last 4 digits of your phone #)

 

            Coaches meeting – Thursday Sept. 3, 8-9 pm at the Wellesley Community Center.

 

Print out your BAYS roster once I email it to you at end of August, sign it and make 20 copies once I email it to you later this month.

 

            Sign up soon for a tournament if you are interested.

 

Once the home field schedule is available in late August, notify your opposing coaches of the time and field location for all of your home games. 

 

Sign up for coach training license courses. If you can’t attend in Wellesley, see www.mayouthsoccer.org for additional courses in surrounding towns and try the Online G course during the late summer!
